At VisitPhayao LLC, we’re all about making your Phayao adventure awesome, but sometimes plans change. Our Refund Policy lays out how we handle cancellations, refunds, and rescheduling for our tours in Phayao, Thailand. We aim to keep things fair and clear, so you know what to expect if life throws a curveball.

Our Refund Rules
We get it—stuff happens. Here’s how we handle cancellations and refunds for our tours:
1. Cancellations by You

More than 14 days before tour start: Full refund, no questions asked. We’ll process it within 7 business days to your original payment method.
7–14 days before tour start: 50% refund. Tours involve local guides and bookings, so we gotta cover some costs.
Less than 7 days before tour start: No refunds, but we can try to reschedule your tour for a future date (subject to availability).
No-shows: If you miss the tour without letting us know, we can’t offer a refund or reschedule, as we’ve held your spot.

2. Cancellations by Us
Sometimes, things out of our control—like bad weather, safety issues, or not enough bookings—mean we have to cancel a tour. If this happens:

You’ll get a full refund to your original payment method, processed within 7 business days.
Or, we’ll offer to reschedule your tour for another date that works for you.
We’ll notify you ASAP via email or phone and work to make things right.

3. Rescheduling
Wanna switch your tour date? We’ll do our best to help:

More than 14 days before tour start: Free rescheduling, subject to availability.
7–14 days before tour start: $25 rescheduling fee per person to cover admin costs.
Less than 7 days: Rescheduling isn’t guaranteed, but contact us, and we’ll try to make it work.

4. Partial Refunds for Tour Changes
If we need to tweak a tour (e.g., a site’s closed or weather messes with an activity), we’ll swap in a comparable experience. If the change significantly impacts the tour, you can request a partial refund, and we’ll review it case-by-case. Let us know within 7 days of the tour at [email protected].
5. Non-Refundable Items
Some things, like third-party fees (e.g., payment processor charges) or special add-ons (e.g., private guides), might not be refundable. We’ll let you know these upfront when you book.
How to Request a Refund

Step 1: Email us at [email protected] or call +1 203-778-9146 with your booking ID, tour name, and reason for canceling.
Step 2: We’ll review your request and get back to you within 48 hours with next steps.
Step 3: If approved, refunds hit your account within 7 business days. Bank delays might happen, but we’ll keep you posted.

Things to Know

Currency: Refunds are in USD, based on your original payment. We’re not responsible for exchange rate changes.
Travel Insurance: We strongly suggest getting travel insurance to cover unexpected issues like illness or flight cancellations.
Disputes: If you’re not happy with our refund decision, let us know at [email protected], and we’ll try to sort it out fairly.
